Our founder began implementing business solutions in 1999. That was 20 short years ago. Over those 20 years, we have learned a lot about what makes a good project, what makes a bad project and what makes an exceptional project.
We will develop a project plan that will keep your project on track and you “In the know” on progress. The steps below are tried and true activities that will yield a successful ERP implementation. Take the time to review each activity and see how Copious will guide you throughout this process.
During the sales cycle or project discovery, our solutions architect develops a roadmap. This roadmap is a complete business solution to meet your needs. In this first and critical activity we will begin by reviewing the road map to ensure we all agree on the final results. This crucial step will define the scope. Once agreed, we will create your project plan in Smartsheet. Copious uses Smartsheet so you can collaborate with us on every task on the project without needing to buy licenses. Copious owns the license so you can seamlessly work with our team throughout your project. Smartsheet keeps all project members up to date, sends reminders of upcoming due dates and alerts when new tasks are created and assigned.
For our Saas Customers, we will configure your new environment based on the solution roadmap. For our non-Saas customers we will begin the installation and configuration of your new Business Solution. During this activity, we will highlight and guide you through those settings that are impossible, difficult or expensive to change later. Most configurations can easily be added or modified at any point in time. We will use industry best practices to give you a jump start on your configuration.
Data conversion can be approached in so many ways. We will always address data conversion in the sales cycle and include it in your roadmap. You can always change your mind on what you want to convert. Over the years, Copious has worked with customers who want to convert little data or select master files. Other customers want all data converted and some customers want something in between. Regardless of what data you are converting, we follow the same steps. We convert in a training database. This way your users can train on familiar data which dramatically increase the speed at which they learn and dramatically increases their retention of the information. This also provides a safe place to review the data and make necessary adjustments. Once the data is reviewed and accepted, we move the data to a production site. This is the singular most overlooked step in the entire process. Customers frequently do not put the time in that is required to clean-up the data. Data cleansing is an opportunity that is best addressed when converting.
As a new or existing Acumatica customer, you have access to a wealth of training at your fingertips. Acumatica provides training classes for your employees to learn at their own pace, in their own time from any web browser. Copious creates a training matrix as part of your project plan. Training is assigned to all users so they can begin their learning journey through out the project. This training tool minimizes the cost of an Acumatica implementation because your people can learn basic navigation and skills on their own. Copious does not rely on self-paced training alone. In step 5, we provide hands on training to augment your user community, answer questions and help refine your configuration.
Self paced training has great benefits in developing software skills. It also helps acclimate new employees that have never seen Acumatica. The training is very thorough and answers many questions about “how do I do this”. It does not answer the questions of should I do it this way or that way. This is why Copious plans time in your project to augment what you have learned and help answer those questions based on industry best practices.
It is important that after we configured your system, converted your data, trained your users, augmented training and practiced all business transactions, we formally accept our project readiness. It is only after acceptance and mutual agreement that your company is ready to safely take the system live. Once the managing project members agree we are ready to formalize your go live date. We have been working towards a tentative go live date up until this point. It is here that the official go live date in confirmed and cut over planning begins.
During this critical activity, Copious will have our resources on site for 2 – 5 days to assist you. You will not be alone. This is an exciting and high stress time. Relax, we have been through this more times than we can count. Everyone makes it through, you will too!
After go live we are here to answer the numerous questions you will have. Whether it’s a slight adjustment to a form, a new menu pick, changing user security or helping those users who need a little more reassurance. We’ve planned for this and you will have dedicated access to us during this critical time.
1st Month End
We’ll be back before you know it. We’re coming back to help your financial staff through their first month end close. We will ensure you have a documented month end close schedule to follow and we will help you through it the first time. Together, we will make adjustments and finalize your month end documentation.
